What to Track in a Simple Inventory App
The fields that matter for tools, equipment, and assets—and what you can skip when starting out.
Inventory systems fail when they ask for too much upfront. Start with what helps you find, replace, or service an item: name, location, serial number, and purchase date.
Add warranty end dates for anything with a manufacturer guarantee. A reminder a month before expiration gives you time to file a claim or plan a replacement.
Tag assets by category—power tools, ladders, test equipment—so you can filter quickly on a job site or in the shop.
Photos help more than long descriptions for visually distinct items. One clear photo plus a serial number label is often enough.
Skip duplicate tracking. If a spreadsheet and a notebook already cover the same gear, consolidate into one system before adding more fields.
